Borrowing Gear

Technical gear for club trips (such as harnesses, helmets, wetsuits, ropes, etc.) can be borrowed from the UNSWOC Gear Cupboard free of charge. Follow the link to Booqable to rent gear from our system. All gear must be returned to the gear cupboard within 3 weeks from the date of borrowing, clean and dry, otherwise you forfeit some of your deposit.

Our gear officers typically open the gear cupboard for one hour each week, with the details posted on the UNSWOC Facebook group at the start of every term. The exact time may change between terms, but is usually Thursday afternoons.

The location of the gear cupboard is here, on the outside of the Arc Sport building (Sam Cracknell Pavilion). Throughout the year there will be occasional periods of gear recall or hiring restrictions around events such as 'Boree Log', which will also be announced on the Facebook group.

Our gear officers often change as the executive committee changes, so be sure to check out our exec team to see who current officers are!

Club Library

The club has a modest library of guidebooks and instructional books. They can be borrowed by members at gear nights or by arranging a time with the gear officers. Reading instructional books and discussing with experienced club members is a great way to make yourself a safer, more skilled club member.

Bookings

All gear can be booked through the website in advance on the Borrow or Rent page. This page is only visible for club members who are logged into their UNSWOC account. Watch the above video for a tutorial!

We use a separate system for all gear rentals, so when you add the items you want to rent to your cart you will have to make a 'Booqable' account. This is separate to your club website account, so please click 'Sign Up' when you do this for the first time. When searching for items, ensure you set the booking period to get the correct availability info.

When you come down to the cupboard we will either send you a link to pay online via card or you can bring cash.

Deposit

All members borrowing club gear have to leave a refundable deposit (exceptions only for trip leaders on trips they are leading, and executive members). If you return the gear clean and dry within 3 weeks you'll get your entire deposit back. If you don't return gear within 3 weeks and don't message one of the gear officers about a renewal, you forfeit your deposit!! We don't want to be chasing down every club member who can't be bothered to return gear.

Rental Fees

These fees will have to be paid for personal trips only! Gear hire is FREE for all club trips - including hiring shoes for The Ledge. Hire of safety gear is also free for personal trips (First Aid Kit, PLB), we want you to stay safe kiddos.

Some example scenarios:

You are a participant on a club hike. You borrow a compass. You pay a $10 refundable deposit. You get your deposit back when you return the gear.You are going on a hike with some of your friends, and borrow a compass. You pay a $10 refundable deposit, and a $5 fee. You get only the deposit back when you return the gear.You are the trip leader for a club hike, and borrow a compass. You do not pay anything.

Rental Agreement

By renting gear from UNSWOC, I agree to the following:

  1. Return of Gear: I commit to returning the rented gear on or before the third Thursday following the rental pickup date. The gear must be returned in a clean, dry, and fully functional condition.
  2. Late Return: If I fail to return the gear on time, or in a clean and dry state, I understand that I will forfeit any deposit paid.
  3. Unreturned Gear: If gear is not returned within three months of the rental date, and after receiving at least one warning from UNSWOC, I agree that UNSWOC may charge my card for the full replacement value of the unreturned gear.
  4. Consequences for Non-Compliance: Failure to return gear may result in the cancellation of my club membership, as well as a ban from borrowing gear or participating in club activities, in accordance with the club constitution.

Full Terms and Conditions

1. Deposits  
1.1 All members borrowing gear must provide a refundable deposit.
1.2 Trip Leaders for trips they are leading, and executive members, are exempt from deposit requirements.
1.3 Deposits will be refunded in full if gear is returned within three weeks in a clean, dry, and serviceable condition.
1.4 Failure to return gear on time without prior approval will result in forfeiture of the deposit.

2. Rental Fees
2.1 Rental fees apply only to personal trips, defined as trips not published on the club website.
2.2 Rental fees do not apply for all official club trips, including shoe hire for The Ledge.
2.3 Safety equipment, including First Aid Kits and PLBs, may be borrowed free of charge for both club and personal trips.
2.4 Executive members are exempt from rental fee requirements.

3. Return and Compliance
3.1 Gear must be returned on or before the third Thursday following the collection date.
3.2 Gear not returned within three months, after at least one written warning, may be charged at full replacement value.
3.3 Failure to return gear may result in suspension of borrowing privileges, or termination of membership.

4. Damage or Loss
4.1 On club trips:
(a) If gear is lost or damaged through reasonable use, the club will cover the cost of repair or replacement.
(b) If loss or damage arises from carelessness or misuse, the borrower is liable.
4.2 Liability is determined as follows:
(a) Where the replacement cost is less than $300, the borrower must pay the full amount.
(b) Where the replacement cost exceeds $300, the borrower must pay the greater of $300 or fifty per cent of the replacement cost.
4.3 On personal trips, or when damaged by non-members, the borrower must cover the entire cost of repair or replacement.
4.4 Borrowers may appeal these costs before the executive committee.

5. Hire Rates
5.1 Hire rates are determined by the value of the item.
5.2 Fees contribute to the maintenance and replacement of club equipment.

6. Priority
6.1 Gear is only available for hire for personal trips if it is not required by a Club trip within that period.
6.2 The Gear Officer reserves the right to cancel or modify any booking as they see fit.
6.3 The Gear Officer may declare a period of no borrowing ("Gear Recall") as necessary for the maintenance and stocktake of the Gear, or when a higher priority club event occurs.
